1. Acceptance of Terms

By accessing, registering with, purchasing, booking, or using any products, services, bookings, guide network access, or digital offerings provided by this website or company, you agree to be legally bound by these Terms & Conditions, including the Partner Terms, Guide (Supplier) Terms, and Tour Terms below. If you do not agree, you must not use our services.

Acceptance occurs by any of the following: completing a booking or payment, using a booking link, returning a signed agreement, confirming services by email, completing Guide Registration, or otherwise using the website or services.

2. About RT Guide Service and Definitions

RT Guide Service – International Guide Network is a guide coordination and network platform powered by Reimagine Tours®. It connects river cruise operators, bus and coach companies, travel agencies, tour operators, DMCs, group organizers, and other travel professionals with independent local guides. The company hires guides directly for some services and outsources guide services to independent Supplier Partners for others.

In these Terms:

  • “Company,” “we,” “us” means RT Guide Service and Reimagine Tours® (Reimagine Group).
  • “Client Partner” means a travel agency, tour operator, DMC, cruise line, bus or coach operator, group organizer, or other travel business that engages us to coordinate, plan, source, or deliver guide services or other services.
  • “Supplier Partner” means a guide, tour guide, tour operator, transportation provider, activity provider, or other service provider who delivers services to the Company or its clients. A Supplier Partner may be an individual acting as both guide and operator.
  • “Introduced Partner” means any guide, supplier, or service provider identified, sourced, coordinated, or introduced by the Company, directly or indirectly.
  • “In-House Guide” means a guide directly managed and operated by the Company.
  • “Services” means guide coordination, planning, scheduling, and support services, guided tours and experiences, private tours, shore excursions, bespoke travel advisory and DMC services, ticket and attraction booking, software tools, plugins, themes, and related consulting and support.

Partners may act as a Client Partner, a Supplier Partner, or both. Client Partners are bound by Sections 4 to 13 and 15. Supplier Partners are bound by Sections 4 to 13 and 15, plus Section 14.

Descriptions of Services are subject to change at any time without notice.

3. Private Tours and Third-Party Websites

Private tours displayed on this website (rtguideservice.site/private-tours/) are operated and sold by Reimagine Tours® (Reimaginetours.com). Bookings, payments, and the tour terms for those tours are governed by Section 16 (Tour Services Terms) and the full Legal Terms & Conditions at Reimaginetours.com/legal/.

4. Non-Circumvention & Partner Protection

All partners acknowledge that the Company invests significant time, resources, and expertise in identifying, vetting, and establishing relationships with its network of guides, suppliers, and service providers.

Without prior written consent from the Company, no partner (Client Partner or Supplier Partner) shall:

  • Contact, contract, negotiate with, or engage any Introduced Partner outside of the Company;
  • Make direct bookings with Introduced Partners for services that are the same as or similar to those arranged by the Company;
  • Arrange bookings through affiliates, subsidiaries, or third parties in a manner intended to circumvent this clause.

This obligation applies to all cities and destinations, all tour, guide, and shore excursion services, and all future programs involving the same or similar services, whether the introduction occurred during an active program or at any other point in the business relationship, and whether bookings are made during or after a specific program. It is unlimited in duration unless otherwise agreed in writing by both parties.

Breach: In the event of breach, the Company is entitled to seek immediate injunctive relief, recovery of damages, and recovery of reasonable legal fees and costs. This clause survives termination of any booking, service, or business relationship.

Where a separate Partner Protection & Non-Circumvention Agreement has been issued to a partner, it applies in addition to this section.

5. Bookings, Payment & Invoicing

5.1 Booking Confirmation. A booking is confirmed only upon written confirmation from the Company. Verbal agreements, emails, or provisional holds do not constitute a confirmed booking unless explicitly confirmed in writing by the Company.

5.2 Payment Terms. Payment terms are as specified in the applicable invoice or booking confirmation. Payments are due in the currency stated on the invoice and via our booking platform link. The Company reserves the right to manage split payments between its coordination fees and Supplier Partner costs, to require advance payment, and to request additional fees as needed.

5.3 Third-Party Booking & Payment Processing. Bookings and payments may be processed through our authorized partner, TicketingHub, with payment data handled via Stripe. By completing a purchase, you agree to these Terms and the technical processing terms of TicketingHub.

5.4 Currency and Exchange Rates. Bookings and transactions are processed in Euro (€) unless the invoice states otherwise. If you pay from a non-Euro account, your bank or card issuer converts the amount at its prevailing rate. The Company is not responsible for exchange rate fluctuations or foreign transaction fees.

5.5 Statement Descriptor. Charges may appear on your statement as REIMAGINE TOURS, REIMAGINE GROUP, or RT GUIDE SERVICE. By completing a purchase, you acknowledge these descriptors as valid. Any “unrecognized charge” dispute concerning a valid purchase will be contested using these Terms as evidence.

5.6 Location Accuracy & Interpretation. All booking requests must clearly identify the intended destination, including country. Where multiple destinations share the same or similar name, the Company interprets requests based on the information provided. The Company is not liable for misallocation, misinterpretation, or incorrect booking by third-party partners, tourist offices, or suppliers where the destination is ambiguous, unclear, or incorrectly processed by them. Resulting claims, fees, or damages are the sole responsibility of the party that made or processed the incorrect booking.

5.7 Booking Errors. We are not responsible for booking errors. Ticket and booking instructions must be read carefully. A booking that includes more than one ticket option where only one is permitted will be treated as a valid booking for the greater number of people.

6. Coordination & Planning Fees — Non-Refundable

All coordination, planning, scheduling, and support fees charged by the Company are 100% non-refundable, regardless of any subsequent change to group size, number of groups, dates, or services requested. These fees are earned for administrative and organizational services, including sourcing, screening, scheduling, allocating, and managing guides, and are not refundable once services have been performed or allocated.

Example: if the Company is engaged to coordinate guide services for 100 passengers across four groups of 25, the fee remains non-refundable even if the Client Partner later reduces the number of groups, changes group sizes, or cancels individual groups, before or after the service date.

Changes to group sizes or numbers are subject to the cancellation and change windows of the relevant Supplier Partners, as communicated by the Company. The Company will endeavour to accommodate changes where possible but does not guarantee it.

The Company manages coordination, planning, scheduling, and allocation of work and may assign or organize guides and operational logistics as part of its service model.

All other payments for products, services, support, licenses, subscriptions, bookings, deposits, setup fees, digital goods, and custom development are also strictly non-refundable, except where Section 7 or Section 16 expressly provides otherwise.

7. Cancellations, Changes & No-Shows

7.1 Company Services. All services coordinated and provided by the Company are non-refundable once the booking is confirmed in writing, regardless of the reason for cancellation, including illness or medical emergency, travel delays or missed connections, schedule conflicts, government advisories, or a personal decision not to travel. Only tours explicitly marked “Cancellable” at the time of purchase are eligible for a refund, subject to the stated cancellation policy (https://Reimaginetours.com/cancellation-policy/) and administrative fees.

7.2 No-Shows & Late Arrivals. All tours and services operate on a strict schedule. If a participant or group is not at the designated meeting point at the confirmed start time, the booking is a No-Show. No refunds, credits, or rescheduled services are provided for no-shows or late arrivals.

7.3 Supplier Partner Cancellation & Change Windows. Where a Supplier Partner has cancellation or change windows agreed in writing with the Company, those terms govern changes to that Supplier Partner’s services. The Company communicates applicable windows during the booking process. Client Partners are responsible for tracking and adhering to them.

7.4 When a Supplier Partner Cancels or Fails to Perform. All liability for that failure rests with the Supplier Partner. The Company acts as coordinator and intermediary and is not liable for the failure, cancellation, or non-performance of any Supplier Partner. The Company will use reasonable efforts to source an alternative guide or date but does not guarantee a replacement and is not liable for resulting losses, costs, or damages.

7.5 Company-Initiated Cancellation. If the Company must cancel for reasons in Section 8, it will first attempt to provide a replacement guide or alternative date. If rescheduling is not possible, a Service Credit Voucher for the value of the booking, valid for 24 months, will be issued. Third-party costs already incurred (for example, non-refundable entry tickets) may be deducted. The voucher is the sole and exclusive remedy; no cash refund is issued. The Company is not liable for consequential damages including airfare, hotel, or other travel expenses.

8. Circumstances Beyond Our Control (Force Majeure)

The Company may modify, reschedule, or cancel a tour or service due to circumstances outside its reasonable control. Coordination and planning fees are not refunded in such cases. Supplier refund eligibility is determined by the relevant Supplier Partner’s terms.

  • Safety & Weather: Tours operate in normal weather, including light rain; guides may adjust routes or use covered areas. Heavy or severe weather affecting safety may lead to modification, rescheduling, or cancellation, decided case by case with guest safety as the priority. Normal weather does not entitle anyone to a refund or credit.
  • Site Closures & Renovations: Partial or full closures of attractions, museums, palaces, or landmarks are determined by the venue. The tour continues in and around the available areas. Partial closures do not qualify for refunds.
  • Transportation Disruptions & Strikes: If strikes or disruptions prevent the guide or guests from reaching the meeting point, we will use reasonable efforts to provide an alternative; if the tour cannot proceed, it is cancelled. No refund is issued where the cause is a third-party transport provider or industrial action.
  • Health, Emergencies & Government Restrictions: Pandemics, war, civil unrest, government restrictions, natural disasters, security concerns, or sudden illness or injury of a guide may lead to cancellation or modification. We will endeavour to give reasonable notice and alternatives where possible.
  • Route & Itinerary Changes: Routes, stops, or inclusions may be modified without notice based on local conditions, crowds, or safety. Such changes do not entitle anyone to a refund or credit.

9. Chargebacks and Payment Disputes

By completing a booking or payment, you agree not to initiate a chargeback, payment reversal, or dispute with your bank, card issuer, or payment provider without first contacting the Company in good faith to resolve the matter.

Initiating a chargeback without doing so is a material breach of these Terms. Knowingly submitting a false or misleading dispute (for example, claiming a service was not delivered when it was) is considered fraud, and we may report it to the proper authorities and pursue legal action.

In the event of a dispute initiated without valid cause, you remain liable for the full booking amount and agree to reimburse all resulting fees, penalties, and costs, including payment processor fees, chargeback penalties, legal expenses, collection agency fees, and time spent managing the dispute. We reserve the right to:

  • Suspend or terminate access to services and cancel current and future bookings without refund;
  • Permanently ban you from future services;
  • Forward unpaid balances to collections or pursue legal action;
  • Provide evidence of acceptance of these Terms to payment processors.

We ask all customers and partners to contact us directly first; most issues can be resolved quickly and fairly.

10. Delivery of Services; No Guarantee of Results

Services may be delivered digitally, via email, online platforms, or through scheduled coordination or on-site guiding. Delivery timelines are estimates unless explicitly stated otherwise. We are not responsible for delays caused by third-party systems, hosting providers, payment processors, or external integrations.

We do not guarantee specific outcomes, rankings, bookings, guide availability for specific dates, guide assignments, revenue, or business success. Guide network membership does not guarantee work. All services are provided “as is” and “as available.” Information on the website, including the number of networked guides and partnered cities, is provided for general information and does not guarantee availability of a guide in any given city or on any given date.

11. Assumption of Risk & Limitation of Liability

Participation in tours and travel activities involves inherent risks, including physical, environmental, and situational risks, and is at your own risk. By engaging the Company, all partners, their passengers, and their clients acknowledge that:

  • The Company acts as a coordinator and intermediary and is not the direct provider of services delivered by independent Supplier Partners;
  • The Company is not liable for the acts, omissions, negligence, errors, or defaults of any Supplier Partner, guide, venue, transportation provider, or other third party;
  • The Company is not liable for loss, injury, damage, delay, or expense arising from circumstances beyond its control;
  • Client Partners are solely responsible for communicating these Terms, meeting points, start times, inclusions, exclusions, and the consequences of late arrival to their own passengers and clients.

To the maximum extent permitted by law, the Company is not liable for direct, indirect, incidental, special, or consequential damages, loss of profits, business interruption, data loss, technical failures, or third-party service failures. The Company strongly recommends comprehensive travel insurance covering trip cancellation, medical expenses, and personal property.

Nothing in these Terms limits liability for death or personal injury caused by the gross negligence of the Company, or any liability that cannot be excluded under applicable law.

12. Indemnification (Hold Harmless)

You agree to indemnify, defend, and hold harmless the Company, its owners, affiliates, contractors, and partners from any claims, damages, losses, liabilities, or expenses arising from your use or misuse of services, violation of these Terms, violation of any law or third-party rights, or disputes arising from payments or transactions.

13. Client Partner Obligations

Client Partners agree to:

  • Comply with Supplier Partner terms: cancellation deadlines, change windows, group size restrictions, entry requirements, and timing rules as communicated by the Company.
  • Inform passengers: ensure passengers are informed of meeting points, start times, inclusions, exclusions, and the consequences of late arrival or no-show.
  • Provide accurate booking information: including passenger numbers, special requirements, and changes to group size or composition, subject to Supplier Partner change windows.
  • Pay on time: all amounts due under the invoice or booking confirmation. Failure to pay by the due date may result in cancellation of services without refund.
  • Use services lawfully, provide accurate information, not misuse or resell services without permission, and keep account credentials secure.

14. Guide & Supplier Partner Terms

These terms apply to all guides and other Supplier Partners, including guides who register through Guide Registration, whether hired directly or outsourced through the network.

14.1 Independent Contractor Status. Supplier Partners provide services as independent contractors, not as employees, agents, or representatives of the Company. They are solely responsible for the delivery, safety, and quality of their services, and for their own taxes, social contributions, and business obligations. Joining the network does not create an employment, partnership, or agency relationship, and guides remain free to manage their own guiding business subject to Section 4.

14.2 Guide Registration & Profile. Guides must provide accurate, complete, and current information, including qualifications, certifications, licenses, languages, and availability, and keep it updated. The Company may review, verify, approve, decline, suspend, or remove any registration or profile at its discretion. Guides consent to the Company using their submitted profile information to match them with tours and to share it with Client Partners for booking purposes.

14.3 Service Delivery. Confirmed services must be delivered to the agreed standard, with professionalism, punctuality, and regard for the safety, comfort, and experience of all guests.

14.4 Availability & Commitment. Once a service date is confirmed in writing, the Supplier Partner is committed to it. Cancellation by a Supplier Partner, except in genuine force majeure under Section 8, may result in recovery of costs incurred by the Company, loss of future bookings, and termination of the partner relationship. A Supplier Partner who cancels a confirmed service assumes full liability for resulting losses, costs, and damages, and the Company may recover them directly from that Supplier Partner or withhold them from amounts owed.

14.5 Backup & Contingency. Where reasonably possible, Supplier Partners must have contingency arrangements for illness, emergency, or other situations preventing delivery, and must notify the Company at the earliest opportunity of any risk of non-delivery.

14.6 Insurance. Supplier Partners must hold appropriate, current public liability insurance and any other insurance required by law or appropriate to their services, and provide evidence on request. Failure to hold adequate insurance is a breach of these Terms.

14.7 Licensing & Legal Compliance. Supplier Partners must hold all licenses, certifications, and permits required to legally deliver their services in the relevant city, region, or country, and comply with all applicable laws, health and safety regulations, venue-specific rules, and professional standards.

14.8 Communication Protocol. All client-facing and passenger-facing communication must be coordinated through the Company unless otherwise agreed in writing. Supplier Partners must not contact end clients, passengers, or Client Partners directly about bookings, pricing, future arrangements, or any commercial matter without prior written approval from the Company.

14.9 Compliance with Third-Party & Venue Terms. Venue, attraction, and partner-specific policies, including cancellation policies, entry requirements, group size restrictions, and timing rules, form part of the Supplier Partner’s service obligations.

14.10 Payment to Supplier Partners. Supplier Partner fees and payment timing are as stated in the booking confirmation or written agreement. The Company may manage split payments between its coordination fees and Supplier Partner costs.

14.11 Conduct. Zero tolerance applies to disruptive, intoxicated, or abusive behavior toward guests, other guides, or Company staff. The Company may suspend or remove a guide from the network at any time for breach of these Terms or misconduct.

The Reimagine Tours Partners & Affiliates Program Terms and Conditions (https://rtguideservice.site/Reimagine-tours-partners-affiliates-program-terms-and-conditions/) form part of these Terms for guides and affiliates.

15. Confidentiality

The following information disclosed by the Company is strictly confidential and proprietary: partner and supplier identities, contact details, and pricing structures; operational processes, tour content, and itinerary details; and business terms, commercial arrangements, and booking structures. It shall not be disclosed to any third party without prior written consent of the Company. This obligation survives termination of any booking, service, or business relationship.

16. Tour Services Terms (Private Tours by Reimagine Tours®)

This section applies to private tours and experiences operated by Reimagine Tours® and listed on this website.

16.1 In-House Tours. Reimagine Tours® directly manages and operates in-house tours and is responsible for their delivery, quality, and safety. Cancellations, changes, and refunds follow Sections 6 to 8 and the published cancellation policy.

16.2 Partner-Operated Tours. Partner guides, bus operators, and other providers operate independently but may be listed on or provided by Reimagine Tours®. Customers book through Reimagine Tours®, which does not operate the service directly. Cancellations by partners for personal or unforeseen reasons are the partner’s responsibility. Refunds, disputes, and service issues for partner-operated tours must be resolved with the partner. For other partner types (hotels, rentals, airlines, vehicle rentals), Reimagine Tours® collects a booking and processing fee to provide a coupon code or booking link; the partner provides the service and handles all cancellations and refunds.

16.3 Affiliate Referrals. Reimagine Tours® is not responsible for the quality, availability, or fulfillment of services booked through affiliates, or for claims resulting from inaccurate promotion by affiliates. Cancellations, refunds, or errors in affiliate-referred bookings are the responsibility of the third-party partner or affiliate.

16.4 Customer Acknowledgment. Reimagine Tours® is responsible only for facilitating bookings, payments, and customer support where explicitly stated. Customers acknowledge which services are provided by us and which by third parties, and that we are not responsible for third-party service failures.

16.5 User Conduct & Right of Removal. Participants must comply with applicable laws and not behave in an unlawful, harmful, or disruptive way. We may refuse service or remove any participant at any time at our sole discretion, without refund or credit. Any additional transportation costs after removal are the participant’s responsibility.

16.6 Private Helicopter Tours. – Liability Waiver: The participant assumes all risks of the helicopter tour, including injury, death, or property damage. The operator is not liable for claims arising from participation, and the participant releases the operator from all liability. – Insurance Recommendation: We strongly recommend individual travel insurance covering adventure activities such as helicopter tours (for example, World Nomads, SportsCover Direct, Allianz Travel Insurance). – Weather and Mechanical Problems: Tours may be delayed, modified, or cancelled due to unsafe weather or aircraft issues; the operator decides based on safety. – Availability and Cancellations: Bookings are subject to availability. In case of weather, mechanical issues, or other conditions, the tour may be rescheduled for the same day or another day, or a voucher issued for future use. No refunds are provided.

17. Software, Themes, Plugins & Digital Products

Where we provide software tools, themes, plugins, add-ons, or digital downloads:

  • Support: Support is provided only as explicitly stated at the time of purchase. We may limit support scope, refuse support outside agreed terms, and modify or discontinue support offerings at any time. Support does not include custom development unless explicitly purchased.
  • Licensing: Licenses are for the licensed user and scope only. Copying, redistribution, or resale without permission is prohibited.
  • No refunds: All software, plugin, license, subscription, digital download, setup, support, and custom development payments are final and non-refundable.

18. Intellectual Property & Image Policy

All content, systems, software, branding, text, logos, and materials on this website remain the intellectual property of the Company (Reimagine Tours® / Reimagine Group) unless otherwise stated. Unauthorized reproduction, distribution, copying, or resale is prohibited without prior written consent.

Images: The Company uses original photography, client-shared media, and licensed stock imagery, under the following authorities: direct ownership (captured by our staff, hired photographers, or designers); public domain and Creative Commons (CC0 sources such as Pixabay, Pexels, and Maxpixel, or Wikimedia Commons under CC BY-SA); and fair use for transformative or educational purposes regarding historical sites.

DMCA & Takedown: If you believe an image on this site infringes your copyright, notify [email protected] with (1) identification of the copyrighted work, (2) a link to the allegedly infringing material, and (3) your contact information and a statement of ownership. On receipt of a valid notice we will promptly remove the content or provide proper attribution as required by law.

19. Termination

We may suspend or terminate access to services, guide network membership, or the partner relationship at any time, with or without notice, for violation of these Terms, misuse of services, chargeback abuse, or breach of Section 4 or Section 15. Sections 4, 6, 9, 11, 12, 15, 18, and 20 survive termination.

20. Governing Law, Jurisdiction & Disputes

[DRAFTING NOTE – TO CONFIRM BEFORE PUBLISHING: your current documents state three different positions: Illinois, USA (Tour Terms); “United States, European Union, and international law” (Partner Terms); and “the applicable jurisdiction where the business is registered” (software terms). Use one clause here. The text below follows your Tour Terms.]

By booking or engaging our services, you agree that the “Place of Contract” is the State of Illinois, USA, regardless of where the services are performed. These Terms are governed exclusively by the laws of the State of Illinois and applicable U.S. Federal law. Transactions processed in Euro (€) do not alter the governing law.

Nothing in these Terms excludes any mandatory consumer rights you may have in your country of residence that cannot be waived by contract. You agree to first seek resolution through our internal dispute process before pursuing external legal action.

If you are a resident of the European Union or United Kingdom, you acknowledge that you are voluntarily contracting with a U.S. company for services performed abroad. Contractual disputes, refund claims, and liability matters shall be settled in the courts of Cook County or Will County, Illinois.
